Why Project Management Tools MUST Be Located On the Internet
Jan. 24, 2009 21:48
As organizations continue to become more global and workgroups become more and more dispersed, the need to collaborate between organizations, and members not part of the organization, has increased. Unfortunately, most of the IT Project Management tools are being implemented inside organizations on their own internal networks, with limited or no access outside the organization. This results in project members resorting to email, fax, and face-to-face meetings to accomplish project goals and to collaborate on the projects. The solution to this problem is to use Internet-based Project Management tools with Collaboration capabilities that can be made available to anyone with Internet access.
In his new book, "Hot, Flat and Crowded", Tom Friedman argues that globalization and the "flattening" of the world, combined with huge population growth and competition for resources ,will destabilize world climate and bring about dramatic competition for energy and resources. This cycle will continue until all societies will no longer be able to live as they do now and the environment will be destroyed. He suggests that we must act quickly and collectively to change this trend, including substituting using "knowledge resources" instead of "physical resources".
One way to do this is to radically change how people work and interact. Instead of creating "islands" of technology, we can build technology bridges and virtual workplaces, that are accessible by work-teams, independent of the organization, location, and time zone. Although solutions are appearing, very few meet the needs of the new work groups and teams. Many solutions tend to be focused almost entirely on collaboration, with little project focus, or they are so complex that users fail to engage them. Many are also focused on "real-time" communication, which includes videoconferencing, voice conferencing, etc. However, most workers would rather meet on their own terms and time table, when their schedule permits. Spending hour after hour in meetings - either face-to-face or online, is still mostly unproductive. The answer is to "Keep It Simple". The solution must be available on the Internet, and it must be available whenever and wherever the worker needs information and needs to interface with work teams. It must be easy-to-use, so it doesn't scare off new users. It also must be customizable and scalable, so it can exchange information with existing workplace tools (including accounting systems, email, calendaring systems, etc). It also needs to be accessible on any type of device as long as it has an Internet Browser. This includes iPhone's, Blackberry's, Windows Mobile devices, etc.
